Privacy Policy

Last updated: October 19, 2026

At OLOCR, we are committed to protecting your privacy. This Privacy Policy explains how we handle your information when you use our OCR (Optical Character Recognition) service.

🔒 Local-First Architecture with Zero-Retention Cloud AI

All core OCR tools operate entirely within your browser — your images and PDF files are never uploaded to our servers. For our AI-powered features (Image to Excel and AI Text Optimization), data is processed in real-time transient memory over encrypted connections with zero persistent data retention and is never used to train public AI models.

1. Information We Collect

1.1 What We Do NOT Collect

  • Your images, PDFs, or any files used for local OCR — these are processed entirely in your browser and never sent to our servers
  • Files processed via Image to Excel — images are processed in transient server memory during real-time extraction and immediately discarded; they are never permanently saved or stored
  • OCR results from basic text extraction — the recognized text stays in your browser

1.2 Account Information

If you sign in using Google or GitHub, we collect basic profile information provided by these services, including your name, email address, and profile picture. This information is used solely for account management and authentication.

1.3 Usage Analytics

We use Google Analytics 4 (GA4) to collect anonymous usage statistics, including:

  • Page views and general site usage patterns
  • OCR usage statistics (e.g., number of files processed, file types used) — no file content is collected
  • Standard analytics data such as browser type, device type, and approximate geographic region

This data is anonymous and cannot be used to identify you personally.

2. AI-Powered Features

2.1 AI Text Optimization

OLOCR offers an optional AI-powered text optimization feature to improve OCR accuracy. When you choose to use this feature:

  • Only the recognized text (never your original images or PDFs) is sent through our server to a third-party AI service (such as Google Gemini) for processing
  • Your original images and PDF files remain strictly in your browser and are never transmitted to our server or any third party
  • The text data is transmitted in real-time streaming and is not permanently stored on our servers
  • This feature is entirely optional — core OCR operates fully in your browser without any server communication

2.2 AI Image to Excel (Table Extraction)

When you use our Image to Excel tool to reconstruct complex tables, spreadsheets, and embedded visuals:

  • The image you explicitly submit is transmitted over an encrypted HTTPS connection to our secure server and forwarded to a multimodal vision AI model (such as Google Gemini) solely for layout, boundary, and cell structure analysis
  • Transient In-Memory Processing: The image is streamed and processed exclusively in temporary volatile memory during request execution. It is never written to disk, never saved in any database, and is immediately released once the table extraction response is delivered
  • No Model Training: Your uploaded images, invoices, financial statements, and tabular data are strictly used for immediate inference and are never used to train or fine-tune public AI models
  • Full User Control: Once extracted, all table editing, cell modifications, and exports take place in your browser workspace

3. Third-Party Services

We use the following third-party services:

  • Google Analytics 4: For anonymous usage statistics and site performance analysis
  • Google AdSense: For displaying advertisements. AdSense may use cookies to serve ads based on your browsing activity
  • Google Gemini / AI Services: For optional AI text optimization (processing recognized text only) and Image to Excel (processing images via encrypted in-memory stream for table detection with zero persistent storage). Neither service uses your data to train public AI models
  • OAuth Providers (Google, GitHub): For user authentication only. We receive basic profile information as described in Section 1.2

We do not sell, trade, or rent your personal information to any third party.

4. Cookies

We use the following types of cookies:

  • Authentication cookies: To maintain your sign in session if you sign in
  • Analytics cookies: Set by Google Analytics 4 to collect anonymous usage data
  • Advertising cookies: Set by Google AdSense to display relevant advertisements

You can control cookies through your browser settings. Disabling cookies may affect authentication functionality but will not impact the core OCR features.

5. Data Storage

Your files and OCR results for local tools are stored locally in your browser and are never transmitted to our servers. For AI Text Optimization, only recognized text is transmitted. For Image to Excel, images are processed in transient server memory and are never persistently stored on our servers or databases.

If you create an account, your account information (name, email, profile picture) is stored securely on our servers and retained for as long as your account is active.

All data transmitted between your browser and our servers is encrypted using SSL/TLS protocols.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request access to the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your account and associated data
  • Objection: Object to certain processing activities

To exercise these rights, please contact us using the information provided in the "Contact Us" section below.

7. Children's Privacy

Our service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete such information.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a new "Last updated" date. Your continued use of our service after changes become effective constitutes acceptance of the updated policy.
